Witts Conveyancing Ltd (“Witts”, “we”, “our” or “us”) is a private limited company registered in England & Wales (company no. 16271713) ^Companies House. We operate the website wittsconveyancing.co.uk (the “Site”) and provide residential conveyancing services through the solicitors’ firm Taylor Rose MW, authorised and regulated by the Solicitors Regulation Authority.

2. Scope of this notice

This policy explains how we collect, use, share and protect personal data when:

  • you visit or use the Site;

  • you ask us for a quote or make any enquiry; or

  • we act for you (or your organisation) on a transaction.

It also describes your data-protection rights under the UK General Data Protection Regulation and the Data Protection Act 2018 (together “UK GDPR”).

We do not knowingly collect children’s data and our services are aimed at individuals aged 18+.


4. How and why we use your data

Under UK GDPR we must have a lawful basis. We rely on:

We do not carry out automated decision-making that produces legal or similarly significant effects.


5. With whom we share your data

  • Taylor Rose MW (our regulated solicitors’ practice).

  • HM Land Registry, search providers, local authorities, mortgage lenders, estate agents and other parties to a transaction.

  • Professional advisers (barristers, accountants, insurers), auditors, and our IT, web-hosting, CRM, document-management and ID-verification suppliers.

  • Regulators (e.g. SRA, ICO) or law-enforcement agencies where required.

  • Successors in the event of a merger or business transfer (in that case, you will be notified).

All service providers are bound by confidentiality and security obligations, and processors act only on our instructions.


6. International transfers

We aim to keep your data within the UK/EEA. Where this is not possible (for example, a cloud provider in the USA) we use one or more of:

  • an adequacy decision;

  • Standard Contractual Clauses approved by the ICO; or

  • other lawful transfer mechanisms.

7. Data retention

We may keep data longer where necessary for legal claims or regulatory investigations.


8. Security

We employ:

  • ISO-27001 aligned policies;

  • TLS encryption for data in transit;

  • encrypted UK-based servers for data at rest;

  • multi-factor authentication and role-based access;

  • regular penetration testing and staff training.

Despite these measures, no online service can guarantee absolute security.


9. Your rights

You may:

  1. Access a copy of your data.

  2. Rectify inaccurate data.

  3. Erase data in certain circumstances (“right to be forgotten”).

  4. Restrict or object to processing.

  5. Port data to another controller.

  6. Withdraw consent (for marketing) at any time.

  7. Complain to the Information Commissioner’s Office (www.ico.org.uk; 0303 123 1113).
